1. Introduction

1.1 Purpose of this Agreement
This User Agreement governs your use of our website, customer portal, booking system, mobile applications, online tools, and any digital services operated by Anglian Septics Ltd (or any trading names within The Septics Group). By accessing or using any of these digital services, you agree to be legally bound by this Agreement.

1.2 Who We Are
References to “we”, “us”, or “our” mean Anglian Septics Ltd, its authorised representatives, employees, subcontractors, and any affiliate company within The Septics Group.

1.3 Acceptance of Terms
You accept this Agreement from the earliest of:

  • creating an account or logging in

  • submitting an enquiry via our website

  • booking or managing services

  • accessing our client portal

  • using our mobile or web applications

  • viewing or interacting with our content

If you do not agree, you must stop using our digital systems immediately.

1.4 Updates to this Agreement
We may update this Agreement at any time. The latest version will always be available on our website. Continued use of our digital services after any updates constitutes acceptance of the revised terms.


2. Definitions

For clarity:

“Digital Services” – Our website, booking systems, customer portal, mobile app, API integrations, online forms, and any related digital tools.

“User” / “You” / “Your” – Any individual or business accessing or using our Digital Services, whether directly or via an agent, employee, contractor, or representative.

“Account” – A registered profile that grants access to our portal, app, or online features.

“Client Data” – Information relating to your property, drainage system, jobs, bookings, payments, invoices, submissions, or documents uploaded or provided by you.

“Content” – All text, graphics, photos, data, videos, tools, designs, and interactive elements appearing on our Digital Services.

“Unauthorised Use” – Any activity in breach of this Agreement, including attempts to access restricted areas, misuse of data, tampering with systems, or bypassing security.


3. Eligibility & User Responsibilities

3.1 Minimum Age
You must be at least 18 years old to create an account or book services through our Digital Services.

3.2 Authority to Act
By using our systems, you confirm you are authorised to act on behalf of:

  • the property owner

  • the business or organisation you represent

  • any third party for whom you are submitting details

If you lack authority, you agree to be personally responsible for any actions or costs incurred.

3.3 Accurate Information
You must provide accurate, complete, and up-to-date information when:

  • creating an account

  • submitting an enquiry

  • booking works

  • uploading documents

  • communicating with us

You are responsible for correcting any inaccuracies promptly.

3.4 User Credentials
You must:

  • keep login credentials secure

  • not share your account with anyone

  • notify us immediately of any suspected unauthorised access

We are not liable for losses caused by ignored security obligations.

3.5 Acceptable Use
You must not:

  • attempt to bypass security or access another user’s data

  • upload harmful files, malware, or misleading information

  • modify, reverse-engineer, copy, or extract our systems or source code

  • interfere with website functionality or infrastructure

  • use our systems for illegal, deceptive, or abusive purposes

  • automate access using bots, scrapers, or scripts without explicit permission

We may suspend or terminate access for violations.


4. Use of Digital Services

4.1 Permitted Use
You are granted a non-transferable, limited licence to use our Digital Services for legitimate purposes such as:

  • submitting enquiries and booking services

  • accessing job details, quotes, invoices, and documents

  • communicating with our team

  • tracking service history

  • receiving updates and notifications

4.2 Prohibited Use
You must not use our Digital Services to:

  • host, store, or transmit unsolicited marketing or harmful content

  • upload inaccurate or fraudulent documents

  • gather data for competitive analysis, scraping, or resale

  • impersonate our staff, contractors, or other users

  • engage in activity that could harm our operations, systems, or reputation

4.3 System Availability
We aim to provide reliable access, but:

  • availability is not guaranteed

  • maintenance or outages may occur

  • features may change without prior notice

We are not liable for temporary downtime.

4.4 Right to Deny Access
We may suspend, restrict, or permanently revoke access if:

  • payment issues arise

  • you breach this Agreement

  • fraudulent or abusive activity is detected

  • security concerns require intervention

We are under no obligation to explain suspensions where doing so may compromise security.


5. Content & Intellectual Property

5.1 Ownership
All Content, software, databases, text, graphics, images, videos, forms, and documentation are owned or licensed by Anglian Septics.

5.2 Restrictions on Use
You must not:

  • reproduce, copy, or repurpose content

  • extract data for unauthorised commercial use

  • share screenshots or internal documents without permission

  • modify or adapt our materials

5.3 User-Provided Content
If you submit content (documents, photos, messages), you:

  • grant us a licence to store, process, and use it for service delivery

  • confirm you have the right to submit it

  • agree it does not violate any rights or laws

We may delete inappropriate or harmful content without notice.


6. Privacy & Data Protection

6.1 Data Protection Compliance
We process personal data in accordance with UK GDPR and our Data Protection & Privacy Policy.

6.2 Responsibility for Shared Data
You must ensure any data you provide is:

  • accurate

  • lawfully obtained

  • not in violation of any third-party rights

6.3 Integration with Other Systems
If you link your account to third-party systems (e.g., email, payment gateways, landlord platforms), you authorise us to process the data exchanged through those integrations.


7. Bookings, Quotes & Payments via Digital Services

7.1 Online Quotes
Quotes provided online are estimates unless expressly stated as fixed. Variations may apply based on site conditions.

7.2 Bookings
Submitting a booking request online does not guarantee acceptance. We will confirm via email, call, or portal notification.

7.3 Payments
If digital payment options are provided:

  • payments must be made through approved secure methods

  • you are responsible for ensuring payment details are correct

  • failed or fraudulent payments may result in service refusal

7.4 Job Information Provided in Portal
Information displayed—including schedules, disposal notes, photos, and job status—is for convenience and may not reflect real-time changes.


8. Fees, Charges & Invoicing

8.1 Charges Incurred Through Your Account
Any booking made via your account or by someone using your credentials is treated as authorised.

8.2 Disputed Charges
Disputes must be raised within 5 working days of invoice receipt. Access to the portal may be suspended while disputes are investigated.

8.3 Debt Recovery
Unpaid invoices may result in:

  • suspension of portal access

  • cancellation of future works

  • referral to debt recovery agents or solicitors

  • additional fees and statutory interest

Your use of Digital Services does not override contractual payment obligations.


9. Security

9.1 Security Measures
We implement appropriate security controls, but no system is 100% risk-free. Users must:

  • secure their devices

  • avoid using public networks where possible

  • keep passwords private

9.2 Account Breaches
You must notify us immediately if:

  • your login is compromised

  • you notice suspicious activity

  • you lose access to your account

We may temporarily lock the account to protect you.


10. Termination

10.1 Your Right to Terminate
You may close your account at any time by contacting us. Certain data may be retained as required by law.

10.2 Our Right to Terminate
We may suspend or terminate your account immediately if:

  • you breach this Agreement

  • you misuse the system

  • unlawful or fraudulent activity is suspected

  • payment issues arise

  • account inactivity exceeds 24 months

10.3 Effect of Termination
Termination may result in immediate loss of access to:

  • booking history

  • invoices and documents

  • portal-only content

  • saved preferences

We are not liable for loss of data following account closure unless required by law.


11. Liability & Disclaimers

11.1 No Guarantee of Accuracy
Digital data (including job notes, schedules, portal content, or disposal logs) is provided for convenience and may be approximate.

11.2 Indirect Losses
We are not liable for:

  • loss of profits

  • loss of data

  • business interruption

  • reliance on portal data

  • technical errors, downtime, or user mistakes

11.3 System Misuse
We accept no liability for losses arising from:

  • shared passwords

  • unauthorised access caused by user negligence

  • tampering with or modifying our systems

  • incorrect information submitted by the user


12. Governing Law

This Agreement is governed by the laws of England & Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England & Wales.
